Groups in Channeltivity control User access to content and functionality. Every User must be assigned to at least one Group to access the portal. Users are assigned to Groups manually or through Smart Groups upon creation, but you can also update assignments as needed. 


This article explains how to update a User’s Group assignments for both Manual and Smart Groups.

Manual Groups 


Manual Groups require manual assignment, meaning Users must be added or removed individually by an Administrator.


Updating a User's Group Assignment from the User’s Profile:


  1. Go to Admin > Users. 
  2. Click on the name of the User you wish to update.
  3. Click the "Edit" button in the top right and scroll to the User Administration section.
  4. Select the checkboxes next to the Groups you wish to add or remove the User from > Save. 


From the Admin Users List (Bulk Update)


  1. Go to Admin > Users.
  2. Select the checkbox next to the User(s) you want to update. (Note: Users must belong to the same Group Type. For example, Partner Users can only be assigned to Partner Groups.)
    • TIP: Use the "OrganizationType" filter on the left to filter the page to show only Users that belong to Active Partner Organizations. 
  3. Click the "Actions" button > Add to Group or Remove from Group.
  4. Choose the appropriate Group from the dropdown menu > Save. 



Note: If you want to define a new permission set for a User, select the "Replace Group Membership" option.  This will remove the User from all current Groups and assign them to the newly selected ones.




Smart Group Assignment


Users are automatically assigned to Smart Groups based on predefined criteria in their User or Organization records.


Assigning a User to a Smart Group:


  1. Review the Group’s assignment criteria in the system.
  2. Update the User or Organization record to match the criteria.
  3. The User will be automatically assigned to the Group based on the updated information.



FAQs:


Can Users be assigned to more than one Group?

 Yes, Users can belong to multiple Groups as long as the Groups don’t have conflicting permissions.


Are Users notified about Group assignment changes?

Users are not notified when they are added or removed from a Group. 


Can Users be manually assigned to Smart Groups?

No, Users cannot be manually assigned to Smart Groups.
