If you're using the Deal Registration integration with HubSpot, you can map Channeltivity’s built-in Deal Stage field to HubSpot’s built-in Deal Stage field, which allows HubSpot Deals created by Channeltivity to be automatically assigned to a Pipeline and Stage in HubSpot upon creation. It also allows you to keep the Stage values synced between systems.
How It Works
When Channeltivity's Deal Stage is mapped to the Deal Stage in HubSpot, the Stage selected in Channeltivity determines the Pipeline and Stage assignment in HubSpot at the time the Deal is created.
You can configure this mapping by going to Settings > HubSpot Integration > Deal Registration > Add Mapping. You'll then select the Stage fields from the Channeltivity and HubSpot dropdown menus to map them to one another.
Additionally, you can select the Advanced Mode checkbox to specify the field's data flow between systems for the initial creation of the Deal and updates. Learn more about this topic here: HubSpot Integration: Field Mapping Configuration.
Upon adding your field mapping, the system will prompt you to match each Stage value in Channeltivity to a corresponding Pipeline Stage value in HubSpot.
Important Considerations
Channeltivity’s built-in Stage field is visible/editable by Partners. If the field is set to sync bi-directionally, any changes made by Partners in Channeltivity will push to HubSpot, which could affect your forecasting accuracy in HubSpot.
Using multiple Pipelines in HubSpot?
If your linked Deals span more than one Pipeline, you’ll need to add those extra Stage values to Channeltivity’s Deal Stage field and match them accordingly to avoid sync errors.
However, we strongly recommend limiting Deal Stage mapping to a single Pipeline, if possible. Since Partners have the ability to view and update the Deal Stage field in Channeltivity, using multiple Pipelines increases the risk of incorrect Stage assignments and can lead to data inconsistencies in HubSpot. Sticking to one Pipeline simplifies the setup, reduces maintenance overhead, and helps ensure more reliable syncing between systems.Closed Lost Sync Requirement:
The Lost Reasons field in Channeltivity must be mapped to a corresponding dropdown select field in HubSpot to avoid sync errors for Deals marked as Closed Lost in HubSpot. The reason for this requirement is that in order to mark a Deal as Closed Lost in Channeltivity, you must specify a Lost Reason.
To update the picklist values for the Lost Reasons field in Channeltivity, go to Settings > Deal Registration > Lost Reasons.
Alternative Deal Stage Field Mapping Methods:
Option 1: HubSpot-Controlled Updates After Creation
If you want to map the Deal Stage fields to one another but don’t want Partner updates in Channeltivity to overwrite HubSpot, we recommend configuring the field mapping to sync the Channeltivity Deal Stage value to HubSpot only at Deal creation, and setting HubSpot as the master for any future syncs.
Option 2: Use a Custom Field Instead
If you prefer not to map the two built-in Stage fields to one another, you can instead:
Create a custom picklist field in Channeltivity that includes your HubSpot Stage values (Settings > Deal Registration > Deal Custom Fields).
Configure the field to be read-only or hidden from Partners/Distributors, while keeping it visible to Internal Users.
Map the custom field to HubSpot’s built-in Deal Stage field (Settings > HubSpot Integration > Deal Registration > Add Mapping).
Configure the sync one-way from HubSpot to Channeltivity with HubSpot as the master.
Additional Considerations
For Option 1:
You will need to map Channeltivity's Lost Reason field to a drop-down field in HubSpot to avoid sync errors for Deals marked as Closed Lost in HubSpot.
Additionally, HubSpot users will need to select a Lost Reason when changing a Deal’s Stage to Closed Lost.
For Option 2:
New HubSpot Deals created by Channeltivity will not be assigned to a Stage and Pipeline in HubSpot upon creation.
We recommend using HubSpot automation to assign these values upon creation.
See the FAQs in this article for more guidance.
If you use multiple Pipelines, be sure to include all Stage values in your custom field to avoid errors for Deals linked to Channeltivity.
FAQs
What if I already have automation in HubSpot for setting Deal Stages?
If your automation is working, you can leave it in place. However, if you’d prefer to disable it and use one of the mapping approaches above, we recommend contacting our Support Team to review your current setup to ensure a smooth transition.
Can I map a single Channeltivity Deal Stage to multiple HubSpot Deal Stages?
No, it’s not possible to map a single Channeltivity Deal Stage to multiple HubSpot Deal Stages. Each value in Channeltivity’s Deal Stage field must be mapped to a single, corresponding Stage in HubSpot.
