The File Import via ZIP feature in the Library allows you to quickly upload multiple files at once. By importing a single ZIP file, the system will automatically extract its contents, preserve folder structures if desired, and apply your chosen document settings.
This guide walks you through the process. For more information about the Library, see:
- Library Configuration Overview
- Adding Folders and Uploading Content to the Library
- Setting Permissions for Library Content
- Library Document Report
- Go to the Library and click the "New" button, or go to the folder in the Library where you’d like to upload the files and click the “New” button > File Import via ZIP.
- Click the “Upload File” button to upload the ZIP file.
- Use the “Folder Location” dropdown menu to specify which folder in the Library you want the items to appear.
- The contents of the ZIP will be imported based on your selected options below:
- Always create new Documents (default): All documents from the ZIP will be imported as new files, even if duplicates exist.
- Skip existing Documents: Existing Documents will be left unchanged. Only new documents from the ZIP will be imported.
- Replace existing Documents: Files in the system with the same name will be overwritten with files from the ZIP. Other document properties will stay the same.
- Keep Folder Structure During Import(toggled on by default):
- When enabled, this preserves the folder hierarchy from the ZIP file.
- If disabled, all files will be imported directly into the destination folder without creating subfolders.
- Set File Details
- Set Permissions and Visibility. Learn more about this topic here: Setting Permissions for Library Content.
Everyone: All Users assigned to Groups with "Library Access" will have access to the file.
Selected Groups: Only Users in the selected Groups will have access to the file. (Gives you the ability to select the Groups that you want to have access to the file.)
Smart Permissions: Only Users that match the rules that you specify will have access to the file.
No One (hide this file from regular Users): The file will only be visible to Admin Users and Internal Users with "Document Administration" access to the Library.
TIP: You can assign files to a specific Organization so that only Users from that Organization see the files in the Library, using the "Organization" dropdown menu along with the "No One" access option.
(Optional) Select the "Enable public link" option to make the content publicly accessible. Learn more about this topic in this article: How Do I Make a Library Document Public so that Anyone Can Download It?
(Optional) Set content to go live on a specific date and expire (sunset) using the "Viewable From and Until" fields.
Click the "Import" button when you're done.
The system will then display a message indicating that the files are being processed, and once complete, it will show a confirmation that the import is finished. Depending on the size of the ZIP file, the import process may take several minutes to complete.
FAQs:
Can I move content to different folders and set different Tags for different files?
Yes. Once imported, you can use the Library Document Report to move content between folders and make bulk updates, such as assigning Tags and adjusting permissions. You can also use it to delete content in bulk.
