Channeltivity’s Assignment Reference fields are designed to streamline the assignment of records to Internal Users between Channeltivity and your CRM. By mapping these fields to record Owner fields via the Salesforce and HubSpot integrations, you can ensure that record assignments to Internal Users (such as Deals, Referrals, and Primary Partner Managers) stay consistent across both systems.
How Assignment Reference Fields Work
Mapping Channeltivity's Assignment Reference fields to record Owner fields in your CRM allows you to:
- Keep Deal and Referral assignments in Channeltivity aligned with the corresponding Lead or Opportunity Owner in Salesforce, or the Deal Owner in HubSpot.
- Align the Primary Partner Manager in Channeltivity with the corresponding Account Owner (Salesforce) or Company Owner (HubSpot).
- Set the record owner in your CRM during record creation from Channeltivity, ensuring that new records are assigned to the appropriate Internal User from the start.
NOTE: For the sync to work properly, the Internal User’s email address must match in both systems. If the email addresses are different or if the User doesn't exist in the other system, a sync error will occur.
Below is a list of Assignment Reference fields in Channeltivity that you can map to your CRM's record Owner fields.
Salesforce Integration:
Deal Registration and Referral Sync (Settings > Salesforce Integration > Deal Registration or Referral > Add Mapping)
- The "Deal/Referral Assigned To Reference" field:
- Can be mapped to the Salesforce Lead Owner (Owner ID) or Opportunity Owner (Owner ID) fields.
- Allows you to manage and sync ownership of Deals created in Channeltivity with Leads or Opportunities in Salesforce.
Organization Sync (Settings > Salesforce Integration > Organization Sync > Add Mapping)
- The "Primary Partner Manager Reference" field:
- Can be mapped to the Account Owner (Owner ID) field in Salesforce.
- Keeps the Primary Partner Manager assignment aligned between Channeltivity and Salesforce.
HubSpot Integration:
Before mapping the Assignment Reference fields, you'll need to reauthorize Channeltivity access to HubSpot by going to:
Settings > HubSpot Integration > Overview & Authorization > Reauthorize.
You can then proceed with adding the following field mappings:
Deal Registration and Referral Sync (Settings > HubSpot Integration > Deal Registration or Referral > Add Mapping)
- The "Deal/Referral Assigned To Reference" field:
- Can be mapped to the Deal Owner field in HubSpot.
- Ensures that Deals created in Channeltivity are assigned to the correct Internal User in HubSpot.
Organization Sync (Settings > HubSpot Integration > Organization Sync > Add Mapping)
- The "Primary Partner Manager Reference" field:
- Can be mapped to the Company Owner field in HubSpot.
- Keeps the Primary Partner Manager assignment aligned between Channeltivity and HubSpot.
Important Considerations:
- For the sync to work properly, the Internal User’s email address must match in both systems. If the email addresses are different or if the User doesn't exist in the other system, a sync error will occur.
- Before mapping the “Deal/Referral Assigned To Reference” fields, we recommend temporarily disabling the checkboxes under the “Assigned To Internal User” column in your Deal Registration and Referral Email Notifications. Doing so will prevent Users from being notified about assignment updates to existing Deals or Referrals in Channeltivity that were created prior to the field mapping.
