When you sign up a new Partner or Distributor, this often means filling out reseller agreements and other legal documents. The Agreements feature helps manage this process by allowing your Partners and Distributors to electronically sign legal documents, such as partnership agreements, NDAs, etc., right within Channeltivity. How do Partner Agreements work?


Create Agreement text templates of your legal documents and include placeholders for the Partner/Distributor User's signature and other Organization-specific information, e.g., Company Name, address, etc., in the template. 


Assigning an Agreement to an Organization ensures that the Agreement requires a signature by default. You can automate the assignment of Agreement Templates to Partner/Distributor Organizations using the Smart Assignment functionality, which automatically assigns Agreement Templates based on the specific rules that you specify.



When a Partner/Distributor User who is authorized to sign Agreements for their Organization logs into the portal, any unsigned Agreements will be presented for their review and signature upon entry.

FAQs


Can I impersonate a Partner/Distributor User and sign their Agreements?

To protect the integrity of the system, impersonated Users are not able to sign Agreements.



What determines whether a User is authorized to sign Agreements?

Unless their authorization level has been specified prior, a User will be asked whether they are authorized the first time they log in if there's a Pending Agreement awaiting signature for their Organization.



Alternatively, you can specify whether a User is authorized to sign Agreements by editing their profile and selecting from the corresponding dropdown:

What happens if the User is not authorized to sign Agreements? 

The system will allow them to log in and access the portal unless the Agreement settings are configured to only allow Partner/Distributor Users to access the portal once all required Agreements are signed by an authorized User at their Organization. How do I assign Agreements?

How can I automatically countersign Agreements?

You can enable the Internal Counter Signature functionality to automatically add your company’s countersignature to Agreements after the Partner/Distributor signs. Simply specify the countersignatory in the settings and add the Internal Countersignature placeholder to your Agreement templates.

  1. Go to the Agreements Settings page (Settings > Partner Agreements > Agreement Settings).
  2. Scroll down to the Internal Counter Signature section and toggle the switch labeled  "Enable automatic countersigning of agreements" to the ON position.
  3. Enter the details of the person whose signature and information should appear in the countersignature block. You can also update the contents of the Countersignature Block at any time. 
  4. Once you've configured the Internal Counter Signature settings, click "Save" and go to Settings > Agreements > Agreement Templates to add the Internal Countersignature Block placeholder to your templates. 



Can I be notified when a User signs an Agreement? 

Yes, you can enable the Signed Agreement Notification by going to Settings > Agreement Settings. Scroll to the bottom of the page to toggle the switch labeled "Send an email notification whenever an Agreement is signed" to the ON position. You'll then enter the email addresses of the internal recipients you want notified when an Agreement is signed > Save.

How can I make my Agreements prettier by using my company letterhead/stationery?

Adding PDF letterhead to use as a backdrop for your Partner Agreements is easy to set up and configure:

  1. Go to Settings > Agreements > Agreement Settings and scroll down to the Letterhead section. 
  2. Toggle the switch labeled " Use a custom letterhead for PDF Agreements" to the ON position.
  3. Upload a PDF of your letterhead by selecting the "Upload File" button.
  4. Use the drag-and-drop feature (blue margin lines) to refine the placement of the text to ensure the body content does not overlap with the company logo or contact information in the header.
  5. Click "Save" to save your changes. 
  6. Any Agreements signed by your Partners/Distributors moving forward will now use your letterhead as a backdrop.


Are Partners/Distributors notified about Pending Agreements Awaiting Signature? 

They do not receive notifications of pending Agreements. However, authorized Users are prompted to sign any pending Agreements upon logging in to the portal and/or activating their User account. 


Do Agreements sync with Salesforce or HubSpot? 

Agreements do not sync with Salesforce or HubSpot. 



Can Partner/Distributor Users download signed Agreements?

Yes, the below setting in the Agreement Settings (Settings > Partner Agreements > Partner Agreement Settings) allows you to specify which Users can download signed Agreements from their Organization's Profile.
